Terms and Conditions

A confirmed booking with Spicer Caravan Park constitutes acceptance of the following terms and conditions.

Office Hours
9am-5:30pm Monday to Friday, 9.30am – 5pm weekends and public holidays

Check in and check out times
Cabins Check in – 2-6pm Check out – 10am
Caravans Check in – 12-6pm Check out – 11am
• Late arrivals may be facilitated if this is more suitable for your stay, please call ahead to make arrangements for this. Without prior arrangements it will not be possible to arrive after 6pm
• Bookings for the same day are not accepted after 6pm
• Early arrivals may also be able to be accommodated in non-peak periods, but not guaranteed. Please call the office on the day of your arrival to see if this is possible for your stay with us. If we cannot
accommodate an early arrival, and you must arrive early, charges of an additional day will apply to secure the site/cabin for your stay.
Although we may be able to accommodate for late or early arrivals at our Park, it is recommend that you arrive within business hours, due to some of our sites not being level.

An onsite Manager is available 24/7 for urgent assistance and is for staying guest only.

Fees/Deposits
• Full payment is required at the time of booking for all online reservations, along with Credit card details at time of booking which secures your booking with us.
• Payment is accepted by EFTPOS, VISA, MasterCard or ShopParkes gift cards. No personal cheques are accepted.
• Fees are set annually in accordance with the Parkes Shire Council’s Fees and are subject to change.

Cancellations / No Show / Changes Policies
Spicer Caravan Park operates on 48-hour cancellation Policy on all Bookings.
• Failure to notify reception of your cancelation 1pm two days before your expected arrival date will incur the first night’s site/cabin charge.
• Cancelations outside of 48 hours’ notice, will be issued with a credit to their account, minus a $25.00 administration fee.
• Credits are valid for a 12-month period, from original booking date – and must be used within this time.
• If transferring booking to a different date in the future, the 12-month period will apply from the original booking date.
• An administration fee of $25.00 applies to all cancelations that have not given over 48-hour notice.
• Any bookings that have been cancelled for a duration for staying over a week period, will incur a fee of 2 nights.
• No refunds are given for early departures; credit may be possible depending on notice given and circumstances, minus admin fee, and 2 nights’ accommodation.

Special events:
• Special Event and Peak periods, have different rules for cancellations. Bookings cancelled within 30 days of the Event or Peak sessions will incur deposit of one night as non-refundable, due to sites and cabins being in high demand.
• Cancellations outside of the 30-day period, will be issues with a credit to your account minus a $25.00 admission fee. Credit valid for 12 months from booking date.
No Shows – Cabin & site bookings will result in loss of deposits made.
Changes – Changes will be accommodated whenever possible and at no charge where applicable. If dates are changed to a higher charge period, the higher rate will apply. If we cannot change the booking, the rules for cancellations apply.

We reserve the right to refuse a booking at any time from any person reasonably believed to:
• Not be the person named on the booking request.
• Not be the person named on the credit card or not be authorized to use the card.
• Owe outstanding fees or costs in relation to Spicer Caravan Park business operations.
• May exhibit socially unacceptable behaviour.
• Be younger than 18 years and not accompanied by a responsible person over that age.
• Other reason to manager’s discretions.

Information for cabins
Cabins are booked at a week at a time, due to us being a holiday park. If you require a longer stay, please call and speak with one of our managers.
• All cabins are non-smoking inside, and a smoker’s pot is provided outside for any smokers. Fee of $50 upwards for any butts not disposed of in smoker’s pots will apply.
• All rubbish is to be disposed of in outside bin provided.
• No pets allowed inside of cabins. Fee of $100 upwards will apply if found to be breaking this rule.
• It is our duty of care to advise all parents that it is under the Australian Standards recommendation that children under the age of 9 years should not sleep on the top bunk as it could be dangerous.
• Please note that extra charges will apply if damage is made to cabins, cabins are not left in the way they are at arrival. Charges depends on damage/state of cabin.
• Excess cleaning fees start at $100 per cabin.
• Check out time is 10am – failure to do so or advise the office of extended stays will result in an extra night charge.
• All people must be declared on time of check in, this poses as a WH&S risk if not informing staff of attending guests. Failure to do so, will result in extra charges.
• Items missing from cabins will also incur a charge.

Visitors
Visitors are welcome in the Park. All visitors must register themselves and vehicles at office before entering and must vacate the Park prior to 9pm.
Please inform office within business hours if you have visitors attending.
No visitors are permitted to arrive after 9pm.
Visitors are not permitted to use the BBQ or Laundry facilities without the approval of the Park Manager.
Visitors are not to be given the gate code – as this is for staying guests only.

Behaviour
Quiet time is 9pm to 7am. Children must be supervised at all times in all areas of the Park.
• Unruly behaviour or excessive use of alcohol will not be tolerated.
• Management reserves the right to terminate occupancy of the offending party or parties at immediate notice without explanation – no refunds given.
• Management reserves the right to refuse entry to or to eject guests from the park who are deemed by management likely to behave or have behaved in a socially unacceptable way; causing damage; disturbing other guests; using unacceptable language or otherwise breaking Park Rules.
• No refund will be given, and charges will apply for any damage caused.

Fire pit/BBQ area
A communal Fire pit /BBQ area is located in the middle of the park Guest are welcome to bring their own wood to use. This is an undercover area with seating, but you are welcome to bring extra seats if needed.
A hot grill is also available to use on the fire pit – for that camp style cooking.
Using this are, is a common area and accessible to guest staying at Spicer caravan park.
It is the person’s responsibility to take care when using facilities in the park.
Care should be taken to ensure the use of the fire pit does not adversely impact on other Park residents.
Children must be supervised at all times.
• Failure to clean up after use, may result in extra charges.

Bikes/roller blades/scooters/skateboards
Must have the permission of the Park Manager. Where approval for use, they must be used at walking pace only with all appropriate safety helmets and equipment worn and must not impact on Park residents. They must not be ridden after dark.

Pets
Pets must be declared at time of booking, and are no extra charge for having them accompany you.
We welcome well socialized pets that are cared for by responsible owners.
Pets are forbidden in cabins, on verandahs, ensuites and communal areas such as amenities block, BBQ areas etc. if pets are found in these areas you may be asked to leave.
Pets must be restrained at all times in Park grounds and at site as required by the Companion Animals Act 1998 for a Public Place.
There is an off-leash reserve adjacent to the park, East of the Oval where you are able to exercise your dogs to compensate for their leash restriction within the Park.
Dog owners agree to take full responsibility of any personal injury or damage caused by their dog whilst within the Park and agree to pay for any claims of compensation in regards to the dogs activities. They must not be
left unattended in the Park at any time. Barking is to be controlled. Droppings are to be removed and disposed of immediately by the Owner.
Pet owners must have their pets under control at all times, your pet might be friendly, but others may not be, or we could have staying guest whom have fears or allergies.
• Failure to abide by the above, may result in extra charges.

Special Requests
These will be considered on request basis only and are not guaranteed at the time of booking.

Minimum Stay
May apply as per the booking chart at Festival times and in peak periods.

Photography
During your stay, you and/or your child(ren), set up or pets may be photographed by our staff. The taking of photographs is for the purpose of advertising, social media and Marketing opportunities. Please advise our
staff photographer at the time of your booking if you do not wish for your photo to be taken.
Occupancy is granted under the acceptance of the above-mentioned terms and conditions in accordance with the Park Rules. Management reserves the right to terminate the occupancy due to any breach of the above.
Please note extra changers may apply if you are found to be breaching any of the above terms and conditions and you may not be able to re-enter our park in the future.
Care is the person’s responsibility when using any of our facilities within the park, and children must be supervised.

Privacy

Spicer Caravan Park is operated by the Belgravia Group.

Your personal information is managed in accordance with the Belgravia Group Privacy Policy.
